This privacy notice explains how @Solutions BV, trading under the name LAW OFFICE BELGIUM, processes personal data in the context of contact, dossier checks, dossier management, communication, evidence retention and administrative follow-up.

2. Data we may process
We may process identification data, contact data, company data, billing data, dossier information, correspondence, documents, metadata, deadlines, evidence, communication history and technical data when you provide them or when they are necessary for dossier follow-up.
Documents you provide may contain data relating to third parties or sensitive information. Only provide information that is relevant and that you are lawfully allowed to share.
3. Purposes
Personal data is processed for contact requests, dossier checks, intake, document receipt, dossier structuring, case management, correspondence support, evidence retention, administrative follow-up, invoicing, customer management, internal quality control, security, dispute management and compliance with legal obligations.
4. Legal bases
Processing may be based on pre-contractual steps, performance of a contract, legitimate interest, legal obligation or consent where consent is specifically required. Legitimate interests may include dossier follow-up, evidence retention, security, quality control and protection of rights.
5. Documents, uploads and confidentiality
Only upload or provide documents that you are allowed to share. LAW OFFICE BELGIUM is not a law firm and communication with LAW OFFICE BELGIUM is not automatically protected by lawyer-client privilege or legal professional privilege.
Where formal legal advice, procedural representation or criminal law assistance is required, a recognised lawyer must be consulted. If data is shared with an independent specialist, this is done only when necessary, appropriate or requested by you.
6. Recipients and processors
Data may, where necessary, be shared with IT suppliers, hosting providers, administrative and accounting partners, insurers, professional advisers, independent specialised lawyers or experts, competent authorities and other parties where this is necessary for the service, legal obligations or protection of rights.
Appropriate arrangements are made with processors. Personal data is not sold.
7. Transfers outside the European Economic Area
We aim to process personal data within the European Economic Area. If a transfer outside the EEA becomes necessary, it will take place only with appropriate safeguards under applicable law, such as contractual safeguards or another valid transfer mechanism.
8. Retention periods
Data is not retained longer than necessary for the processing purpose. Dossier and communication data may be retained for as long as necessary for follow-up, evidence retention, disputes or protection of rights. Accounting and billing data is retained in line with statutory retention periods. When data is no longer needed, it is deleted or retained in a limited form where legally necessary.
9. Security
We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or alteration. No system is completely risk-free; therefore, please do not provide unnecessary or excessive data.
10. Cookies, analytics and tracking
In its current MVP version, this website does not use external analytics, tracking pixels or marketing cookies. Functional or technically necessary elements may be used to make the website work correctly. If analytics, forms or external services are activated later, this notice will be updated and consent will be requested where required. More information is available in our cookie policy.
11. Data subject rights
Within the limits of applicable law, you may request access, correction, deletion, restriction, portability or objection to processing. Where processing is based on consent, you may withdraw that consent for the future.

12. Complaint
You have the right to lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, via www.dataprotectionauthority.be.

This privacy notice may be amended when our services, technical setup or legal obligations change. The most recent version is always available on this page.
